Maintenance Clerk/Analyst
The Maintenance Clerk (Contract) role will report to the Manager Maintenance and Reliability (M&R) for the company's Distribution Business Area. The selected candidate will be required to:

  • Gather data in support of developing the monthly M&R Key Performance Indicator (KPI) and stewardship reports
  • Collaborate with contractor onboarding and Supply Chain Management (SCM) to manage administrative aspects related to contractor management and onboarding.
  • Provide insight into purchase order tracking and controls using SAP. This will also entail creating shopping carts for service requests
  • Work with engineers, students, specialists, coordinators and leaders to ensure an efficient and effective document management system using Livelink and MS Teams
  • Support the optimization of M&R processes, using SAP, Excel and other administrative management tools.


Minimum Qualifications:

  • At least 5 years of business administration, maintenance support or supply chain experience in an industrial setting
  • Post-secondary qualification in business administration, supply chain or applied technology is preferred
  • Proficiency with Microsoft Office applications (Excel, PowerPoint, Word) and SAP
  • Strong written and verbal communication skills
  • Good time management and organizational skills
  • A self-starter and initiative-taker who is always looking for new ways to support the team and optimize administrative processes


Preferred Qualifications (in addition to the Minimum Qualifications):

  • Experience in oil and gas facilities (refinery, upgrader, terminals, pipelines) is preferred
  • Experience or familiarity with data analysis using Excel or PowerBI is an asset

Description:

This individual contributor is highly focused on our SAP / ERP Systems for the Supply Chain Management (SCM) function. This position is an interim assignment to support our sustainment activities.

Responsibilities
* Monitor ServiceNow queues and group mailboxes for business user inquiries.
* Troubleshoot errors and issues associated with SAP MM and SCM automated systems.
* As one of our security role owners, review and validate user account requests for our SAP MM and other connected applications.
* Perform routine tasks and audits to maintain the integrity of our system configuration, in compliance with applicable SOX/ITGC controls.

Qualifications

Must have:

* Experience with an integrated supplier collaboration portal for electronic Purchase Order, Field Ticket, and Invoice transactions, including supplier account review and alignment with our ERP systems.
* SAP MM Functional Expert (ECC and S/4 HANA), working with Process and Technical teams and apply the most appropriate solutions to enable business process.
* Ability to facilitate meetings to understand business challenges and capture business requirements, as it pertains to defect resolution and enhancement requests within SAP / ERP Systems.

Overview

Responsibilities:

* Support and adhere to Client's Health, Safety and Environment (HSE) management system
* Ensure HSE issues are given priority consideration by complying with all corporate and operating procedures to align with corporate safety standards and expectations

Description:
As a member of the Commercial Finance team this role will provide support to the CRP Commercial back-office. This role will be responsible for processing and revising of the Supply transactions, as it relates to product movement as well as the billing and error handling from source system. This position is also responsible for the SMS day-close processes and data transfer to SAP. This role will work closely with Retail Operations, Supply and Logistics and other internal and external stakeholders to investigate and resolve imbalances and other issues identified. This role is expected to deliver accuracy and insight into the financial records through best practice process and efficiency; enhanced data transparency/availability and analysis; and focused and effective control framework.
Responsibilities
Role: Processing, revising, and analyzing product movement for the Downstream business units using SMS

  • Monitor and process daily EDI files from client and third-party terminals
  • Process daily, weekly, and monthly invoicing to customers
  • Reconcile AP invoices at a transactional level and submit for payment
  • Research and investigate issues, answer queries, and follow up on outstanding issues with various departments across Downstream
  • Prepare monthly KPI reports, process documentation and evidence to support internal and external control requirements and audit reviews
  • Assist and work on ad-hoc requests and projects to support the business

Deliverables

5. Prepare monthly KPI reports, process documentation and evidence to support internal and external control requirements and audit reviews
* Prepare monthly Light Oil Revision report, Freight Payment, and Supply Payment report
* Prepare monthly SOX documentation in relation to the refined products processes
6. Assist and work on ad-hoc requests and projects to support the business
* New supply contract implementation/Ensure accounting and tax setup in both SMS/SAP

The primary responsibilities of the H&S Advisor role include:
* Providing H&S technical guidance to Field Operations.
* Coaching & mentoring site leaders on H&S leadership, building and sustaining H&S capacity in front-line teams, and collaborating with site leadership to meet and/or exceed safety metrics outlined in the business performance contract.
* Supporting and/or leading incident investigations to ensure that root causes are identified, and that site leadership own and drive the actions to prevent reoccurrence.
* Collaborating with the business to share best practices and lessons learned.
* Supporting the implementation of OIMS ( Operations Integrity Management System), assisting the business in developing and implementing gap closure plans, and verifying that assurance/self-verification programs are functioning as designed.

  • Key Accountabilities:
    • Subject matter expert on Mobile Equipment Maintenance E2E Maintenance Program (PRP) Component process
    • Has a good understanding of OEM / manufacturer's contract terms, process and programs
    • Ensures that all internal & external stakeholders are aligned and understand MEM Maintenance Program (PRP) Component Process E2E
    • the one point of contact for all Major Component concerns in MEM
    • MEM BU Component 'single point of contact' for cross-functional teams and vendor
    • Participate in maintenance planning meetings (T1 and T2/ T3)
    • Provide feedback on component budget and hours
    • Collaborate with SCM on component master data accuracy
    • Provides Information - Maintenance Planning and Budget process
    • Facilitate - Ad-Hoc reporting for decision making / trends

  • E2E owner of the Component Change-out sheets (CCOS) process:
    • Manual process to track all CCOS. They send daily reports & Follow-up on all Work Orders that needs a completed CCOS.
    • Capture all CCOS data in a spreadsheet such as serial numbers, hours, etc. that will facilitate informed decision making and KPI development.
  • Management of measurement points Process:
    • Confirms accuracy of equipment and component SMR / GOH Hours
    • Ensures alignment of data between SAP, vendor and equipment software (visionlink, etc.) in collaboration with cross-functional teams and vendor.
    • Provides weekly information to Maintenance Planning so that they can reset maintenance programs
    • Provides weekly information to Warranty Specialist so that they can reset the warranty start date in the FLOC structure.
    • Track and report on component Early Failure Trends
    • Provide component information to SCM for Contract performance management
    • Would be dealing with Shovels, Tracks & Auxiliary equipment, Graders and Trucks

  • Required Qualifications: experience in Excel, SAP Experience, Mine mobile equipment - good understanding of major components on Caterpillar, Hitachi, Komatsu and Shovel equipment
