Senior Project Coordinator
Location: Calgary
Contract: 12 months, potential extension
Rate: $70 IC; $60 T4 per hour


The Project Coordinator role is responsible for improving the quality of the project administration functions thereby allowing the Project Manager to focus on the strategic activities. The Project Coordinator's primary role will be to work closely with the Project Manager, project team members and vendor resources, and synchronize all the operations involved in the successful running of the project. This involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
Key Objectives:

  • Increase reporting confidence with consolidated project tracking and reporting
  • Increase compliance to governance and standards
  • Improve timeliness and accuracy of project and portfolio reporting
  • Offload tactical activities from PM to enable the PMs to focus on strategic planning
  • Help support PM to minimize the uncertainty in project outcome
  • Facilitate clear, concise communications between all stakeholders


Key Responsibilities:


Project Administration

  • Build and maintain team Content Server workspace, SharePoint site, Microsoft Teams channel, postings, access management
  • Perform document management and maintain documentation library, both in SharePoint and Content Server
  • Organize, attend, and participate in various Project meetings as required (e.g., Working Committee, Steering Committee, townhalls, workshops)
  • Take meeting minutes, post and follow up on actions and decisions made from meetings
  • Create and maintain various project trackers (e.g., build interface tracker, Business & IT resources requirement tracker, new resource onboarding/offboarding tracker, project resource utilization tracker)
  • Create and maintain project team calendar of planned events
  • Manage team members' vacation schedule, setting up reminders and notifications
  • Provide additional onboarding training sessions to new resources including building the training deck
  • Create and maintain email distribution lists for the Project
  • Support miscellaneous project team requests and perform ad-hoc requests
  • Manage in-team communications including information posting, deadline reminders etc.


Methodology Support

  • Assist in maintaining and monitoring Project plans/schedules
  • Engage with the project team to identify and define requirements, scope, and objectives
  • Act as the point of contact and communicate project status to all team members
  • Ensure standards and requirements are met by adhering to templates and process set by the CPMO governance team
  • Monitor project schedules for variance against baselined milestones
  • Assist in managing resource utilization on the project, including forecasting, resource leveraging etc.
  • Assist in maintaining project RAID log (Risks, Actions, Issues and Decisions)
  • Draft and QA project documentation (e.g., Project Management Plan, Project change request)
  • Perform quality check on project documentations (e.g., formatting, content completeness)
  • Collect project status, top risks and issues, and roll up to higher level status reporting (i.e., Program status)
  • Draft project status reports and scorecards according to required cadence, report on Project health, schedule, budget, scope, and resourcing etc.
  • Monitor and follow up on all Project action items
  • Assist in document approval process including managing artifacts to be saved in the proper folders, create approval request in ServiceNow and follow ups
  • Assist in vendor management including vendor engagement meeting setup, follow up on Project Statement of Work (PSOW) status, follow up on signatures, file signed document, submit Approval for Position (AFP) requests etc.
  • When in a program or portfolio setting, act as the liaison between project teams and program leadership team
  • Assist in the execution of project change management process including creating CR, gathering information from working team, performing impact analysis on schedule, scope, and budget etc.

Financial Processing

  • Assist in project budget build (if required), using bottom up or top-down approach depending on scenarios and/or the requirements
  • Submit AFE/WO request form
  • Create and maintain Project Forecast Template
  • Maintain, and update the ServiceNow PPM tool
  • Provide instruction to 3rd party vendors of invoicing process (e.g., account setup in OpenInvoice, invoice submission requirements, invoice coding to use)
  • Manage Project financials in ServiceNow
    • Create and maintain resource plans and cost plans
    • Perform monthly actuals reconciliation
    • Update future months' forecast
    • Analyze variance against baseline
    • Document and submit for approval all financial related change requests
  • Ensure accuracy and financial health
    • Assist with invoice payment in OpenInvoice
    • Check invoice accuracy against signed PSOW
    • Code AFE (or CC)/Major/Minor/Work Order #
    • Route for payment approval
    • Follow up with vendors (if required)
    • Reconcile actuals in ServiceNow against Costpick
    • Perform journal entries (JE) where required
  • Perform project financial reporting
    • Report on project actual, forecast, and spending profile according to the required cadence
    • Act as the point of contact between Project team and other financial related functions (e.g., Corporate planning) for accruals, budget allocation, Investment Committee (IC) memo, general Q&A etc.

Role Description:
The role of the Quality Assurance Analyst is to support the planning, design and execution of system testing on simple to complex implementations. The Quality Assurance Analyst works collaboratively within the project team and business units to execute and validate test cases based upon system requirements.

Key Responsibilities:
? Accountable for the creation of the project test plan, test cases, test scripts and test reports;
o Review functional and design specifications to ensure full understanding of individual deliverables;
o Identify test requirements from specifications, map test case requirements and design test plan that ensures that the implemented solution meets the business outcomes and requirements;

Primary Interfaces:
The Quality Assurance Analyst role is in the IT Project Delivery and the key interfaces are:
"Engage" - the Quality Assurance Analyst will work with the engage team to understand the project outcomes and how the project fits into the business plan;
"Business" - The Quality Assurance Analyst is the primary contact with the business subject matter experts who they will work with to understand testing requirements and test plans;

Reporting to the Toledo TIMS Program Manager, the role of the Solution Architect is pivotal to the success of our projects and solution development. This role works closely with the IT Architecture group and will follow direction from the assigned Architects to ensure designs are following corporate standards. The primary focus of this position is to support the Operations and Development teams in ensuring compliance to regulatory requirements in Alberta and British Columbia.

Key Accountabilities
* Monitor various regulatory websites and other tools for regulatory change * Partner with teams to assess the impacts of regulatory change and develop plans to ensure compliance with change.
* Develop regulatory bulletins to communicate regulatory information to broader organization.
* Support various regulator databases (DDS, KERMIT, etc.) and maintain accounts, make changes to accounts/access, etc.
* Monitor regulator inspections and distribute to Operations teams. Work with Operations teams on any inspection follow up and update regulator inspection database as needed.
* Prepare and support preparation of applications to the regulator for project development * Research regulations and provide guidance to teams on various regulatory issues (both surface and subsurface) * Write briefing notes on various regulatory topics * Coordinate and support submission of feedback to regulators on proposed regulatory change.
* Work with internal teams and external regulatory agencies to solve complex technical and challenging issues.
* Establish positive working relationships with internal staff and external regulators.

Qualifications:
* 5-7 years experience in the oil and gas industry * Demonstrated experience working with oil and gas regulations in Alberta and British Columbia * Ability to interface and work with all levels of the organization.
* Overall understanding of the oil and gas industry and how regulatory requirements impact business decisions.

This is a contract assignment located in our Grande Prairie office, working a shift of 8 days on, 6 day off, 10 hour per day.

Responsibilities:

  • Work with the operations and engineering teams to assess, identify, develop and implement process optimization and operational improvement opportunities for existing infrastructure
  • Coordinate and optimize production by way of adjusting set points and monitoring of SCADA trending and alarms
  • Contribute and support the artificial lift operation, maintenance and optimization through identifying well candidates, enhanced monitoring and operation of new artificial lift wells
  • Develop and follow up on action items driven from the IOC team, engineering and operations

General Description of role:

  • Performs sampling tasks throughout the plant site, field and off sites of varying matrixes to support critical and core analysis in support of our operation, ensuring these samples are representative of the source.

Accountabilities / Responsibilities:

  • Support lab operation, safety and environmental systems
  • Support stake holders on projects, R&D and operations optimization
  • Troubleshoot plant process/sampling issues
  • Look for and lead efforts to improve processes and procedures as it relates to position
  • Carry out routine and non-routine lab sampling
  • Perform routine and non-routine chemical and physical analysis as requested/required in support of stakeholders and co-workers

  • Shipping champion for Lab group, ensuring TDG requirements are met, proper labeling/cost coding is documented on COCs, etc.
  • Clean sampling containers (cylinders) to prevent contamination
  • Train new Field Lab Technician's on sampling protocols and procedures
    Ensure proper communication and documentation occurs with cross shift (crossover notes, etc.)

From a data migration perspective, support the ERAM (Enterprise Reliability Asset Management) project delivering an upgrade of GE APM v3.6 (Meridium) to APM v4.5.
The key skill / prior experience is "Equipment Strategy Data Sheet (ESDS) transformation".
*Authoring of new ESDS/RCM/FMEA's from scratch or updating existing.
*Understanding the purpose and function of an Equipment Strategy within an engineering setting (O&G, Aviation, etc.)
*Advanced MS Excel skill level

The resource will be responsible for:
*Reviewing existing Equipment Strategies and RCM/FMEA Analyses initially authored in prior template version
*Analyzing the ESDS/RCM/FMEA for irregularities in content such as in appropriate data entry in fields
*Migrating/transferring existing ESDS/RCM/FMEA information into a NEW standard template (data loader)
*Loading the new template with the transferred data into GE APM (aka Meridium)
*Remediate, translate, prepare static equipment strategies to standardized template for application loading
*Provide data cleansing, quality, and validation efforts
*Transform data into usable load sheets for vendor data mapping and migration efforts
*Develop test conditions and validate expected results to ensure business objectives are met
*Facilitate and ensure operational acceptance of data quality

The Project Delivery team has an exciting opportunity for a Contract Environmental Regulatory Compliance Technical Lead to support the development, coordination, and execution of technical solutions for the Environmental Regulatory Compliance (ERC) Project.


Reporting to the ERC Project Manager, the role of the Technical Lead is pivotal to the success of our projects and solution development. This role works closely with the IT Architecture group and will follow direction from the assigned Architects to ensure designs are following corporate standards. The role involves a mixture of development and coordination tasks. The incumbent will be the interface between the design and business analysis work within our team. This is a technical role with a coordination portion, not the other way around.
