Overview

Our client, a privately held company based in Vancouver and an industry leader in the production of sustainable natural gas products, is seeking a Site Procurement Specialist to join their project team on-site near Squamish, BC.

The project, situated approximately 7km west-southwest of Squamish, BC involves the construction and operation of a liquefied natural gas export facility with a storage capacity of 250,000 m3, capable of producing 2.1 million tonnes of LNG per year.

Reporting to the Procurement and Contracts Manager, the successful applicant will conduct full life-cycle procurement activites, from planning and strategy to ongoing maintenance and renewals for materials and services. They will also be a key representative for the client, supporting Indigenous engagement initiatives and fostering relationships with the local supply community.

Key Responsibilities
The successful applicant will:

  • Lead all procurement and contracting activities in support of client needs - Understand internal needs and external market, develop go-to-market recommendations and execute commitments using established procedures and standard documents/forms.
  • Analyze suitability of potential suppliers following company vendor qualification criteria. Maintain records of approved, current and potential suppliers by commodity or service.
  • Develop and lead formal Requests for Proposals for long-term commitments and sizable purchases.
  • Performs pre-bid and pre-award meetings.
  • Analyzes suitability of bids dependent on time constraints, cost and quality assurance.
  • Prepares bid evaluations and seeks appropriate approvals of awards.
  • Monitor and report on the status of procurement and contract completion for activities of the team members you are supporting.
  • Supplier Performance Management - ongoing support of contract management plans and the coordination of managing key performance indicators.
  • External Stakeholder Engagement - Lead interactions and manage deliverables with key external stakeholders related to procurement & contract planning and activities.


Required Experience

  • 5 years of supply chain functional experience or working knowledge of procurement & contracts systems, including working with external suppliers and contractors.
  • Knowledge of commercial terms and conditions and procurement activity in the Canadian marketplace.
  • Procurement/supply chain Undergraduate degree and professional certification are desirable.
  • Previous exposure to oil and gas industry projects/operations is an asset.

  • Experience working with large multi-disciplinary teams and contractors in a multicultural environment is an asset.
  • Communication/interpersonal skills - interacting with front-line workers through to management and all hierarchical levels.
  • Exceptional written and verbal communication skills.
  • Ability to be Innovative and vision-oriented with demonstrated ability to undertake strategic planning and implementation.
  • Ability to work well under pressure and handle multiple tasks, and change priorities within tight time frames.
  • Ability to work collaboratively within a team environment.
  • Expertise with a variety of computer programs (e.g. MS Office).

  • Energetic in pursuit of continuous improvement processes.
  • Shares knowledge readily and encourages personal development.
  • A valid driver's licence and passport.
  • The position is based in Squamish, with travel as required to the client's Vancouver Office, EPC contractor's office in Houston and others.

Sr Document Control Coordinator
Location: Calgary or Edmonton
Contract: Initially 12 months, with a view to extend
The Document Control Coordinator must have knowledge and experience working on Gas, Liquids, Power projects. High level understanding of each commodity's documentation and turnover process requirements. Demonstrate advanced knowledge of a variety of information management tools, including SharePoint Online, PowerBI, and Bluebeam.
Accountabilities
Provides operational support by:

  • Providing Information Management Support for Gas, Liquids, Power commodity projects. Supporting and communicating document management requirements throughout a project.
  • Working independently in a fast paced environment and on multiple projects at once.
  • Taking initiative to solve problems that arise and provide resolutions.
  • Advanced understanding of SharePoint architecture, permissions groups, library architecture, and access troubleshooting for internal and external stakeholders.
  • Utilizing multiple reporting methods and tools such as PowerBI to effectively communicate the progress of records throughout the lifecycle of the project to key stakeholders.
  • Interpreting project updates and milestones and advising management of any impacts for document management activities.


Provides first level specialized and technical project support and leadership to a project management team by:

  • Interpretation of project-specific business requirements, ensuring alignment with project lifecycle gating methodologies and compliance standards for records turnover to the proper Business Authorities.
  • Recommending improved processes for project Data Management teams when reviewing their Data Management Checklist and processes to ensure continual improvement.
  • Providing expertise in integrating existing information management tools with other applications (SharePoint, Excel, Word, PowerBI, Bluebeam, etc.)


Scope

  • Manages effective process communication with internal team members to provide overview of document control procedures and project record status
  • Coordinate internal and external Project team meetings and training sessions.
  • Interfaces with other internal project document control personnel to ensure consistency in approach with document control procedures and to leverage off existing practices.
  • Interfaces externally with engineering consultants' document control personnel to ensure document control procedures are implemented and being followed.


Required

  • Information/Business Analysis/Records Management Diploma or comparable post-secondary education and related experience.
  • Minimum of three years of working in a project environment or related equivalent experience.
  • Ability to work independently and with minimal supervision.
  • Strong computer skills are required with proven proficiency in Microsoft Office Suite, OneDrive, Teams, PowerBI, SharePoint, Knowledge of Nintex Forms and Workflows.
  • Experience and/or developer knowledge of SharePoint and/or other document control systems.
  • Strong data analysis, with experience in visual design and development utilizing Microsoft Power BI.
  • Motivated team player, able to work with team members to meet deliverables.
  • Excellent analytical, interpretive, organizational and problem solving skills.
  • Ability to handle a high workload, short timelines and high impact activities.
  • Ability to prioritize and manage multiple assignments and meet established deadlines while managing project's requirements.
  • Exceptional communication skills (both written and oral).
  • Excellent people skills with an ability to share experience and knowledge with others is required.
  • Possesses keen attention for details.
