Senior Analyst, Records Management
Summary:
The Senior Analyst, Records Management, will play a key role in developing, implementing, and managing a comprehensive records management (RM) program. Reporting to the Manager, Records Management, this position will work closely with Legal, Information Management, and Regulatory teams to create, implement, and continuously improve the RM program.
Responsibilities:
* Develop and implement the RM program under broad direction from the Manager, ensuring alignment with federal, state, and local record retention mandates.
* Maintain and enhance Records Management Policy and Schedule, as well as RM policies, procedures, and guidelines for the creation, retention, retrieval, and disposal of records and information.
* Incorporate legal and regulatory requirements and best practices related to records management, including privacy, information protection, and retention schedules throughout the lifecycle of records.
* Provide expertise and oversight in creating and maintaining metadata and folder structures for electronic document management systems, working closely with Information Management.
* Partner with IT to develop and improve automated records filing processes in various systems, including but not limited to email and Hexagon systems.
* Collaborate with other departments to identify and manage information assets, ensuring proper storage, security, and disposal.
* Conduct and participate in audits to ensure conformance with records management procedures and storage practices.
* Establish key performance metrics for the RM program.
* Contribute to the development of disaster recovery and business continuity plans as they relate to records management.
* Prepare and deliver company training on records management policies and procedures, including onboarding, orientation processes, and annual refresher courses.
* Provide records management awareness and guidance to staff as needed.
Minimum Qualifications (required):
* Bachelor's degree in a related field (e.g., Information Management, Library Science, or Business Administration).
* Minimum of 6 years of recent, relevant experience in records management.
* At least 3 years of experience in developing, building, and implementing a records management program, including policies and procedures.
* In-depth knowledge of legal and regulatory requirements related to records management, including privacy, data protection, and retention schedules.
* Proven experience in managing electronic records management systems.
* Strong project management skills with the ability to manage multiple projects simultaneously.
* Exceptional organizational skills with strong attention to detail.
* Excellent written and oral communication skills.
Preferred Qualifications:
* Experience working in the Oil and Gas industry.
* Strong technology background in implementing metadata-driven electronic document management systems, including SharePoint, OpenText, and Hexagon.
* Extensive knowledge of records lifecycle management for both electronic and hard copy records.
* Related certifications are a plus: IGP, CRM, CIP, and PMP.
