Petroplan is looking to hire an Administrative Associate in the Engineering division for a major Oil and Gas Company
Administrative Associate - Engineering
Primary Purpose:

The role of the Administrative Assistant is to provide administrative support to the Engineering Department. Works independently under limited supervision and many times with a sense of urgency, performs advanced and highly complex administrative/clerical functions including: word processing or typing letters, memoranda and forms, orders supplies, maintains files, answers telephones, schedules appointments/conferences, makes travel arrangements, receives visitors, and sorts mail. The position will also provide support as needed to other departmental managers.

This position will be located in Sulphur, Louisiana.

Responsibilities:

  • Compose memos, form letters, reports, documents, and other daily tasks as required
  • Assists with maintenance of files and records
  • Maintain monthly reports
  • Maintain schedules and makes travel arrangements for Engineering team members. Coordinates and/or takes lead responsibility on special projects requiring advanced skills. Uses business applications software and peripheral equipment (e.g., complex databases, advanced presentation graphics, detailed spreadsheets using original formulas, operates fax machines, copy machines, etc.). Ability to self-train when software applications are updated, revised and/or superseded.
  • Process expense reports
  • Performs other duties as assigned



Qualifications:

Education/Experience
Required:

  • High School Diploma or GED


· Minimum of seven years as an Administrative Assistant

Skills/Knowledge/Abilities:
Required:

  • Advanced computer skills
  • Familiar with the operation of office machines (printers, faxes, computers, calculators, data scanners)
  • Must be highly proficient in MS Office Suite.
  • Strong communication skills; ability to be tactful, diplomatic, and sincere with the public and to handle dissatisfied citizens
  • Self-starter with ability to work strategically with minimal direction
  • Able to remain calm and effective in emergencies. Understands and deals comfortably with a sense of urgency
  • Able to communicate fluently in English
  • Knowledge of business English, spelling, and grammar sufficient to write and edit business materials
  • Ability to maintain confidentiality of sensitive information
  • Strong attention to details



Physical Requirements:

  • Must be able to sit at a desk and operate a computer for extended periods of time
  • Must be willing to travel for trainings and meetings as required
  • Some light lifting may be required
