IT Trainer - London OR Guildford

An opportunity has arisen at Petroplan for an IT Support Analyst / Trainer to join the team based in London OR Guildford. Petroplan is a specialist oil and gas recruitment company with a large contractor base and numerous applications and platforms, so this will be a varied and interesting role which will allow the successful candidate to have exposure to all systems.

Reporting to the Digital and Systems Analyst, you will support in the management of Petroplan's core application software which relates to the acquisition, processing and information transfer for candidates and business contacts for purpose of recruitment and finance activities.

What does the role include?

  • Day to day support of Petroplan's core applications
  • You will become a super user for the Bullhorn system and integrations, supporting on any issues raised through the helpdesk and the Digital and Systems Analyst.
  • Involvement in the GDPR project team to ensure systems are maintained in compliance with Petroplan's GDPR commitments
  • Support with the rollout of system change training. E.g. any enhancements to core systems
  • Provide training on all Petroplan systems to new and existing employees
  • Manage the systems maintenance for internal user systems
  • Assist with application development support to improve core business processes
  • Ensure agreed regular internal reporting commitments are met

What skills will you need to have?

  • Excellent technical IT skills, including a strong working knowledge of the Microsoft Office Suite (Excel, Visio, Word)
  • Knowledge of Bullhorn or a similar CRM system would be desirable
  • Experience working within a recruitment environment would be preferable
  • Knowledge of systems accounting principles would be desirable

Recruitment, Contracts & Mobilisation Consultant - London

This varied and interesting role includes interacting with international clients and contractors across a range of seniority levels. The role will be based in Waterloo, London (travel to our Guildford office will be required to begin with for training and then ad hoc as required)

Our Mobilisation team plays a vital role in ensuring that high quality and standards are maintained when dealing with the mobilisation of contractors to our global client base.
The work is complex and requires a logical mind and perceptive approach as well as a patient, can-do attitude.

The ideal candidate should:

  • Demonstrate a professional level of written and verbal communication
  • Have administrative experience within a fast-paced industry
  • Be confident, have excellent interpersonal skills and the ability to develop relationships quickly
  • Have superb organisational and administrative skills
  • Have a proven track record of a strong ability to prioritise
  • Have excellent IT skills (Word, Excel, Outlook and preferably previous experience of using databases)

Role and responsibilities for this position:

  • Managing the new starter induction process for contractors commencing assignments with your allocated clients. This includes handling all mobilisation procedures such as travel, visas, work permits, offshore training, medicals and accommodation. It will involve close liaison with clients and contractors as well as our internal account managers, recruitment consultants and finance/payroll team
  • Key contact for assigned contractors, dealing with queries and complications promptly and efficiently
  • Developing and building on contractor and client relationships together with passing any key information/leads to the relevant account manager.
  • Updating, managing & monitoring contractor information on the internal database (full training will be provided)
  • Ensuring the relevant Accounts Managers and Recruiters are alerted of any relevant information about their contractors including contract amendments, extensions, terminations, payment issues (if they require escalation) and potential leads.
  • Managing the contractor's contract, renewal, amendments, and discussing new terms.
  • Tracking visas/work permits/medical renewals and rotation schedules.

In this role, you will take overall responsibility for the strategy and delivery of the team. Skills & experience

You will:

  • Be an experienced Team Leader or Manager with proven experience of sales delivery in a results-focused environment, within the Technology industry
  • Have strong experience in recruitment (3 - 5 years), with a proven track record in billing
  • Demonstrate a good understanding of the financial drivers of a business to enable improvement in gross profit.
  • Demonstrate good experience in developing and maintaining client and candidate relationships, preferably with passive candidates
  • Build and motivate your team, encourage creative thinking and inspire them to over-achieve.
  • Have an inquiring and inquisitive mind that thrives on building relationships at all levels.

An exciting opportunity has arisen with a niche global energy recruitment specialist who are looking for an Accounts Assistant to support the Finance team.

Petroplan is an expanding company specializing in the recruitment of highly skilled professionals to the oil, gas and energy industry. We operate across six continents via several legal entitles and trade in multi currencies.

Although this role reports into the Group Financial Controller approximately 40% of their time will be spent supporting the Head of Commercial Finance with contractor payment issues, invoicing queries, month end margin analysis and master data monitoring.

Accounts Assistant Job Description
Finance Tasks

  • Preparation and submission of the entity VAT (Sales Tax) returns.
  • Compile and submit the National statistics and Intermediaries reports.
  • Month end balance sheet postings and reconciliations
  • Asset verification and Fixed Asset depreciation
  • Overhead reporting.
  • Preparing and uploading journal entries
  • Validate new Account Payable suppliers in Dimensions and Bullhorn
  • Support banking team by providing back up for the bi-weekly payment runs
  • Other banking / treasury tasks

Commercial Finance Tasks

  • Prepare the month end margin reports for designated teams and post correcting journals as appropriate
  • Close liaison with the Payroll & Revenue team.
  • Ad hoc commercial Finance tasks
