Job Function

  • Support tendering processes, single source justifications and contract negotiations.
  • Negotiate terms and conditions with suppliers.
  • Contractual evaluation of the offers, recommendations.
  • Raise Purchase Requisitions / purchase orders / work orders / service orders in SAP.
  • Review vendor contracts to ensure conformance to project specifications and to identify deviations from accepted group policy/practice and any unusual business or logistical risks.
  • Maintain an up to date contract register and a plan of procurement activity.
  • Undertake market research activities regarding suppliers / business requirements to source the best suppliers and solutions.
  • Maintain relationships with existing suppliers while seeking/developing new ones.
  • Work closely with the subsidiaries to support the SCM teams.
  • Liaising with all appropriate company departments (tax/legal/operations/finance etc) as part of contracting and procurement process.

Behavioural skills

  • Excellent commercial and business acumen.
  • Confident and effective communicator.
  • Excellent negotiation and influencing skills.
  • Ability to work effectively in a team and fast-paced environment.
  • BIMCO experience is a plus.
  • Excellent standard of written and spoken English.


Qualification and Experience

  • Minimum 5 years of experience in supply chain and contract administration.
  • SAP knowledge is mandatory.
  • Second language skills are preferred but not required.

Procurement Expediting and Master Data Expert

Purpose

Expediting & Master Data Expert who is a critical position in Procurement Section has responsibility for ensuring timely and properly organizing and coordinating procurement activities in order that Procurement Section meets department KPIs approved by the Management through an up to date tracking records and reports.

Responsibilities

  • Under supervision of Procurement Section Manager, the Expediting & Master Data Expert will coordinate with the Procurement Team to:
  • Ensure that all procurement activities are conducted properly and timely as the per the approved procurement plan.
  • Ensure that the procurement team well-coordinated with other company's User departments in order to ensure that bidding schedules are met.
  • Ensure that procurement activities undertaken meet Vietnamese regulations, procedures and policies.
  • Supervise the expediting work for ensuring timely delivery of materials and equipment, and timely completion of services.
  • Supervise and ensure that year to year vendors/suppliers' evaluation KPI is provided timely and accurately to meet procurement and vendor management goals.
  • Supervise and maintain and monitor the lead time from requisition to payment to ensure compliance with agreed SLA.
  • Supervise and maintain the on-time payment reports in coordination with account payable.
  • Supervise and validate the data upload and extraction of contracts and procurement in SAP for all the required updates and upgrades of SAP.
  • Supervise and ensure that SAP trainings is provided to other employees on procurement, warehouse, and contract processes.
  • Ensure that all procurement analysis reports are generated timely as required with the recommendations of where contract coverage would be required.
  • Ensure monitoring and managing the spend analysis, budget consumption, and validities of the contracts on SAP.
  • Supervise the up to date end to end SAP master data maintenance related to the material, vendors and contracts in coordination with procurement, warehouse and user department


Work experience:

  • About 15 years working experience in oil & gas procurement.
  • Familiar with Incoterm 2000/2010, experience in import/export.
  • Experience in SAP MM, Master data management, Reporting.
  • Experience in Procure to pay and accounts payable processes.
  • Experience preparing contracts and procurement spend analysis, reports and KPI's monitoring.
  • Experience in managing the expediting and dealing with multiple internal and external stakeholders

Contracts Manager

Key Responsibilities:


Be proactive by identifying contractual issues and proposing strategies and actions.
Be capable of digesting the schedule und technical input into documents/letters.
Carry out full range of pre and post contract activities on a variety of green field and brown field Services and Support Contracts.
Acting as liaison between Projects and SCM for all Projects.
Prepare COO's (Contract Call-off Order) for both the Engineering and the Construction Contractors.
Participate in development of contracting strategies.
Negotiate and agree contract extensions, variations and claims.
Negotiate with contractor in case of scope development, changes etc.
Involved in periodic commercial audits of main contractors.

Skills:


Good understanding of engineering/construction/commissioning of thermal power plants and/or oil-gas plants.
Must have a minimum twenty years relevant experience including ten (10) years of outstanding Contracts and Procurement experience.
Specific experience in Middle East for renowned clients will be essential.
Degree in Mechanical Engineering.

Job Description:

  • Monitors, supervises and ensures the compliance with the construction and other related contracts of the project and advices to the Project Manager accordingly.
  • Prepares and handles all contractual correspondence and other legal documents related to the Project execution and the construction contract.
  • Ensures compliance to contractual obligations towards the Client during project execution and reports to the Project Manager.
  • Monitors and identifies all contractual and law related matters occurring at project level and refers same to the Project Manager and, if required, to the Regional Contracts Manager for assistance or further processing.
  • Refers any deviation from standard forms of documents, agreements or contracts to the Project Manager.
  • Prepares specific Contracts and other legal documents with Third Parties based on standard templates.
  • Reviews proposals from suppliers/subcontractors and prepares routine response for proposals, bids, and contract modifications from contractual point of view.
  • Analyzes and manages business conflicts between the company and the Client or any Third Party and submits proposals to Project Manager.
  • In coordination with the Project Controls Manager collects and advances to the regional level all critical input related to specific litigation or arbitration (initiated or threatened) or related to extrajudicial settlements and further liaises and coordinates for the handling of the matter.


Skills:

  • Minimum 10 years of working experience, 5 years of which in the field of Contracts Engineering.
  • Fluent in English & French is MANDATORY.
  • Excellent in using MS office.
  • Highly motivated and energetic person
  • Experience with a multinational construction company.
