Job Description

PRINCIPAL ACCOUNTABILITIES

  • Assist in all daily tasks.
  • Responsible for all administrative matters including typing, scanning and distribution of mails, handling telephone calls, etc.
  • Dealing with daily secretarial duties and any private and confidential matters pertaining to the Company.
  • Manage diaries and schedule and coordinate all appointments, interdepartmental and management meetings and maintain an efficient record of the meetings and provides the timely reminders on his appointments/meetings.
  • Arrangements of flights and hotel accommodation, visa applications, car rentals and preparing itineraries for business trips.
  • Responsible for preparation of presentation material to Corporate, Regulatory Agencies and Partners.
  • Responsible for the compilation of weekly reports, monthly forecast reports and Executive Committee reports and to ensure timely submission to Corporate Management.
  • Responsible for completing the corporate card statement online monthly basis.
  • Manage all essential business documents to ensure proper handling with regards to signature, distribution and responses on behalf of the Country Manager.
  • Provide all administrative assistance to Thailand team members by communicating with both IT & Administrative Services Departments on setting up of e-mail address, request for computer/laptop and mobile phone, tenant pass, etc.
  • Liaison with Corporate Office and update them with reports on a weekly and monthly basis.
  • Liaise and coordinate with all departments in the area of administration, corporate and operation matters.
  • Preparation of check requests for reimbursements and submit same to Finance Department for processing payment once approval is granted.
  • Verification of claims and reimbursements submitted for approval.
  • Filing and indexing office correspondence.
  • Maintain an efficient Information Management System that includes keeping master files for all outgoing and incoming correspondences for the General Manager, Malaysian Operations.
  • Attend to ad-hoc requests and other duties as assigned.
  • Travel Agents, Car Rental Companies, Hoteliers (locally & overseas), Airlines (MAS, SIA, CO, etc.), Real Estate Agents, Movers, Legal firms, Florists, Contractors, etc.


QUALIFICATIONS AND EXPERIENCE

  • Minimum Diploma in Private Secretarial Course (PSC) or equivalent and 10 years of related working experience.
  • Mature with pleasant personality, positive work attitude, strong organizational and good interpersonal skills.
  • A self starter, team player and one who thrives on working in a challenging and fast paced environment. Able to work independently and under minimum supervision.
  • Highly motivated, resourceful, multi-tasks, with pleasant disposition and is able to upkeep a high degree of trust, integrity and confidentiality.
  • Good command in English and Bahasa Malaysia and posses excellent communication.
  • Good computer literacy and proficiency in Microsoft Words, Excel and PowerPoint.
