Office Manager

Role Summary/Purpose:
To provide professional support in administrative and office support activities, handling external or internal communication and management systems.

Essential Responsibilities:
* Providing general administrative support with HR & Admin Department
* Answer office telephone and be the first point of contact for business, including welcoming visitors and providing hospitality
* Managing stock control of stationery and general office supplies
* Providing general office administrative support; including photocopying, scanning, forwarding correspondence and filing as required
* Assisting in Public Relations and marketing activities
* Coordinating with agent for any visa application, cancellation and renewals
* To provide assistance for business travels & support in the application of business visas, dependent visas, for inbound and outbound travel
* To organize smooth on-boarding process for all Malaysia & Southeast Asia employees like requesting email accounts, providing computer, mobile phones & other stationeries and maintaining personnel file
* Application, deletion & renewal of medical insurance
* To assist in internal meeting / trainings
* Maintaining record of leaves and attendance for all Malaysia & Southeast Asia employees
* Undertake other duties from time to time as required by Country Manager and HR Director
* Petty cash management and recording
* Checking of LPO for correctness and adherence to company policies and forwarding for final approval
* Verifies and prepares the expense report.

Qualifications/Requirements:
* Familiarity with the use of office equipment
* Implementing Admin systems and databases
* Excellent verbal communication skills with a good telephone manner
* Fluency in written and spoken English
* Good interpersonal skills
* Computer literate, with keyboard skills and experience of word-processing, (Microsoft Word) combined with ability to acquire other skills as necessary (e.g. databases and spreadsheets).
* Ability to work on own initiative and take responsibility where necessary and to work as part of a team.
* Smart and business-like appearance.
* Ability to work to a high standard (and while under pressure)

Senior Management Reporting & CTRM Analyst

Primary Purpose of Job:

Maintain the management reporting system for trading, including reconciling it with the trading P&L (in the CTRM system) and monitoring the hedging positions.

Experience & Skills

* Minimum 10 years work experience in Trading Finance and financial analysis with leading IOCs, NOCs or reputable companies.
* Multi-disciplinary knowledge and broad competence is required in areas such as trading, sales operations, commercial commodity pricing, financial reporting, and P&L reporting.
* Proven communication and analytical skills with detailed-oriented thinking and a capacity to innovate around complex P&L reporting.

* Postgraduate Qualification (MSc. or MBA) is considered a plus.

Responsibilities include;

  • Support all aspects of international payroll/accounting processes for pay and information record for personnel
  • Supports the accounting team with month-end close process by reconciling assigned general ledger accounts, investigating discrepancies, generating payroll, tax, and other ad-hoc reports
  • Assists with tax and benefits audits with payroll and benefit service providers (including reviewing and coding vendor invoices). Also supports monthly Benefit account reconciliations.
  • Ensuring employee records are accurate in every transaction that affects their personnel record
  • Responsible for the generation and posting of payroll related journal entries, performing account reconciliations of key payroll accounts and supporting month end close activities
  • Develop user procedures, guidelines and documentation by reviewing policies, procedures and continually improve assigned processes
  • Manage the preparation of daily cash position and funding requirements
  • Monitor wire transfers and bank transfers and ensure they are submitted in a timely manner
  • Ensure that payroll reports are accurate and timely filed with appropriate governmental authorities (i.e. tax filings)

Primary purpose of job


The Senior Investigator will lead, participate in, conduct independently, review and/or oversee investigations and related work, including the gathering and analysis of evidence from diverse sources/systems, relating to violation(s) of the company Code of Conduct, in a complex operating environment. The purpose of the investigations is to determine compliance with or
non-compliance with the company's Regulations, Policies and Procedures.


Experience & Skills


1. Has a minimum of 5 years investigation experience, including 2 years Oil and Gas industry experience.
2. Strong English language and excellent writing skills. This includes the ability to prepare professional investigation reports with recommendations.
3. Excellent interpersonal, oral communication and interviewing skills, including the ability to interact with all levels of staff/management and suppliers.
4. Strong analytical and research skills including ingenuity, persistence, being innovative, taking initiatives and an eye for detail.
5. Must be honest and ethical. This includes displaying integrity, confidentiality and good judgment.
6. Management skills in resolving audit / investigation related issues tactfully.
7. Good organizational skills including the ability to work independently and to handle several assignments simultaneously.
8. Knowledge and use of appropriate software packages and relevant information systems.
9. Obtaining relevant evidence and information including the ability to file this in a logical and easily understood filing system.


Education


1. A Bachelor's degree in an accounting, financial, engineering or other relevant discipline.
2. It is preferred that the candidate has an "investigation certification" i.e. ACFE3. Valid membership of a relevant professional body (e.g. Institute of Internal Auditors, Association of Certified Fraud Examiners etc.) is desirable.

Job Purpose

- Ensure that the stand-alone & consolidated financial statements, tax declarations and treasury functions of the privatized companies are performed to ensure compliance with the relevant rules, policies and procedures and to provide financial accounting and tax guidance to senior management as required.
- Present to the Board Audit Committee and the Board of Directors on a quarterly basis the consolidated financial statements of the holding companies and provide due support to all management meetings related to the privatized companies.


Experience & Skills

- At least 15 years post qualification experience, with at least five years in a similar group financial accounting and consolidation reporting role
- Advanced MS Excel user, with familiarity in MS Word and Power point.
- Strong analytical, problem-solving and communication (both written and oral) skills.
- Fluent in English; Arabic would be a great advantage.


Education

- Graduate in Finance or Accounting, with an internationally-recognized professional qualification, e.g. CPA, ACCA, CIMA preferably with an MBA.

Contracts Specialist
Site: Houston, TX with a planned transition to Superior, WI Q4 2019 / Q1 2020
Reporting to the SCM Manager, the primary purpose of the incumbent in this position is to provide life cycle management of Projects Contracts from creation, revision and maintenance to close-out. He/she will execute Contracting strategies and plans in alignment with key business objectives.

Primary Functions:

  • Execute procurement best practices for Sourcing activities, ensuring these practices are in accordance with HOIMS, Procurement Policy, Procurement Management System Documents (MSDs), and all relevant regulations
  • Develop Project or Scope specific Contracting Strategies and Contract Execution Plans in support of PDE Gate reviews and Project execution.
  • Provide oversight of E&P Contractors in managing Project Contracting activities (per division of responsibilities between &P).
  • Execute Pre-Award activities for main project services (Engineering, Fabrication, major Construction Work Packages)
  • Develop EOI and evaluation criteria; Coordinate the evaluation of EOI, Bidders prequalification and shortlisting; Coordinate the development of Bid Evaluation Criteria and Plan (BECP) with PMT & CMT; Develop the appropriate commercial compensation structure for the SOW and conform the RFP; Issue the RFP and Manage the Bid process (as Single / Focal Point of Communications with Bidders); Coordinate the evaluation process per BECP; Develop and Prepare negotiation plans and Conduct negotiations, Prepare award recommendations and Route for appropriate financial and commit authority approvals, Issue Awards and Kick-off (with PMT/CMT); Conform the contracts and Route for execution by authorized personnel; Prepare Contracts Briefs (Terms of Reference)
  • Execute Post Award Contracts Management (for contracts assigned to the incumbent) and support the management of Contractors Relationships:
  • Compile data to assist in periodic reviews of Contractors' performance (Performance Scorecards/Metrics) against established KPIs; Support management of Contractors NCRs in accordance with the NCR process; Manage and Report on approved contract values (e.g. up-to-date Current Contract Value, Forecast Contract Value Vs. Approved Contract Value) and spend against Approved Contract Value (to ensure governance i.e. prepare amend decisions for proper approvals before committing additional spend).
  • Manage the upkeep of Contracts Change Logs, Issues and Disputes Management Register (IDMR), disputes and claims mitigation plans; Route Change Orders, and Amendments for approval per process and signing authority guidelines.
  • Work with Contractors to resolve day-to-day issues and expedite resolution.
  • Ensure all Procurement & Contracting documentation is stored in the appropriate Contract Management Systems in accordance with the Procurement Information Plan.
  • Perform other duties as assigned.



Required Qualifications:

  • Undergrad degree in an Engineering, Technical or Business discipline (post-secondary education)



Desired Qualifications

  • Master's degree (Engineering, Project Management or Business Administration)
  • Professional Supply Chain certification (SCMP)
  • Other Professional Certification relevant to Supply Chain Management
  • Project Management Professional (PMP)
  • Project Engineer



Required Experience:

  • 15 years of experience within supply chain
  • 10 experience in projects procurement
  • MS office applications
  • Prior direct experience for Projects within Oil & Gas Industry
  • Strong / demonstrable Negotiations Skills
  • A background in oil and gas industry would be an asset in order to understand the nature of work within an integrated oil and gas company trong working knowledge of ERP SAP desired

Project Estimator
Core Responsibilities:

  • Ensure estimates adhere to our estimating standards and procedures e.g. Asset Development and Execution Model (ADEM) standards and governance
  • Work collaboratively with engineering house estimators and extended estimating teams
  • Help with the development of a cohesive project team and support positive relationships with other groups such as the engineering contractor, construction, internal groups, contract resources and diverse groups related to the project
  • Develop project estimates of all categories and in all project stages
  • Generate and maintain all levels of estimates including pre-scoping, scoping, stage 2 concept selection, stage 3 front end engineering design, stage 4 detailed design and construction, and stage 5 benefit analysis
  • Provide analyses on project cost variance to estimate, as required
  • Maintain the cost estimate risk register for each project throughout the project lifecycle
  • Ensure the project cost estimate basis is understood and in accordance with corporate financial guidance
  • Understand the importance of scope definition, execution on project cost and identify and present key cost drivers for a project


Must-haves (minimum requirements):

  • Five years of estimating experience including project estimating
  • A High School Diploma or General Education Diploma (GED)
  • Familiarity with Cost Breakdown Structure (CBS) and Earned Value Management (EVM)
  • Experience in both brownfield and greenfield projects
  • The ability to work on multiple estimates at a time
  • A self-starter who can work with minimal supervision
  • Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint)
  • Strong initiative, interpersonal and organizational skills


Preference for:

  • A Bachelor's degree or a Technical diploma
  • Functional knowledge in Aspen-tech In Plant Estimator estimating program
  • The ability to work with team members to produce estimating deliverables in a timely manner
  • The drive to provide personal and technical mentorship to junior staff members and extended teams
  • Strong communication skills (verbal and written) and you're able to collaborate with diverse groups in order to achieve the best results and deliver the most value
