About the role:

  • Support the VP, Global Key Accounts in producing an annual Global Key Account development plan particularly focusing on identification of new business development and key future accounts
  • Ensure analysis is provided regularly to show the development of prospects and future accounts to help maintain focus, drive and accountability
  • Produce reports for the VP, Global Key Accounts on the performance of the sales teams in relation to specific criteria and suggest ways to be more efficient
  • Produce presentations using PowerPoint as required
  • Adding detailed information to vendor portals

The ideal candidate should:

  • Have excellent Microsoft Excel, Word, Outlook and PowerPoint skills

This varied and interesting role includes interacting with international clients and contractors across a range of seniority levels. The role will be based in our Dubai office.

Our Mobilisation team plays a vital role in ensuring that high quality and standards are maintained when dealing with the mobilisation of contractors to our global client base. The work is complex and requires a logical mind and perceptive approach as well as a patient, can-do attitude.

The ideal candidate should:

  • Demonstrate a professional level of written and verbal communication
  • Have administrative experience within a fast-paced industry
  • Be confident, have excellent interpersonal skills and the ability to develop relationships quickly
  • Have superb organisational and administrative skills
  • Have a proven track record of a strong ability to prioritise
  • Have excellent IT skills (Word, Excel, Outlook and preferably previous experience of using databases)
  • Work well under pressure, with a robust and resilient attitude to deal effectively with work demand

Role and responsibilities for this position:

  • Managing the new starter induction process for contractors commencing assignments with your allocated clients. This includes handling all mobilisation procedures such as travel, visas, work permits, offshore training, medicals and accommodation. It will involve close liaison with clients and contractors as well as our internal account managers, recruitment consultants and finance/payroll team
  • Key contact for assigned contractors, dealing with queries and complications promptly and efficiently
  • Developing and building on contractor and client relationships together with passing any key information/leads to the relevant account manager.
  • Updating, managing & monitoring contractor information on the internal database (full training will be provided)
  • Ensuring the relevant Accounts Managers and Recruiters are alerted of any relevant information about their contractors including contract amendments, extensions, terminations, payment issues (if they require escalation) and potential leads.
  • Managing the contractor's contract, renewal, amendments, and discussing new terms.
  • Tracking visas/work permits/medical renewals and rotation schedules.

This position will provide extensive support to the CEO, both in terms of commercial reporting and analysis together with administrative support. This is an important and interesting role within Petroplan; you will work closely with the CEO and support on a variety of critical business matters.

The role:
Business Analysis:

  • Produce regular reports on overall business performance across service lines, regions and key clients
  • Produce reports and provide analysis on business lost to competitors
  • Produce research using external sources on potential growth and development opportunities for review by the CEO
  • Assist the CEO with content and production of the quarterly strategy presentations
  • Assist the CEO and Finance Director with compliance with regards to the setup of new offices/entities as required

Support for the CEO:

  • PA support to the CEO (ad hoc diary management, arranging room bookings, drafting correspondence, organising travel arrangements, completing expenses, fielding calls and dealing with queries where possible)
  • Manage the annual meeting calendar for the different groups within the business e.g. Board, Shareholders and Executive Team ensuring they link with filing of accounts and the audit sign off etc
  • Organise and prepare agendas and papers for board meetings and committees
  • Take meeting minutes and circulate to all attendees promptly after meetings
  • Follow up on actions from meetings and regularly update the CEO on progress

The requirements:

  • Have excellent data manipulation and analytical skills; being able to work with large amounts of data and provide meaningful conclusions from analysis of data
  • Have excellent interpersonal and communication skills
  • Be proactive and self sufficient
  • Have excellent organisational and administrative skills, including the ability to prioritise effectively
  • Be proficient in Word, Excel, Outlook and PowerPoint
