Petroplan is in search for a Program Coordinator / Analyst in Calgary, AB.

This is a 3 month contract position.

Schedule: Monday - Friday, 8-5

Key Accountabilities:

    • Support program management activities for our Transformation Management Office (TMO)
    • Collaborate with the Integrated Program Management Office (IPMO) and other program stakeholders to support program management processes and tools such as the benefits management process, resourcing process and the management of change process
    • Contribute to quality checks for projects to validate confidence levels of project roadmaps
    • Provide general support of activities across the broader TMO Program Management (PM) team, including integration, risk management, stewardship/reporting, and PM systems and tools

Required Qualifications

    • A post-secondary education in Business, Engineering, Computer Science or a related field
    • Alignment with our values: safety above all else, stronger together, operational discipline, curiosity and lifelong learning, and act with integrity

Experience and Education:

    • Five years of experience in a project or program coordinator environment

Skills and Knowledge:

    • Experience with transformative business-led programs, or corporate-wide initiatives
    • Advanced skills in Microsoft Excel and PowerBI
    • Knowledge and understanding of PM best practices
    • Strong organizational, communication and integration skills

Must be eligible to fully live and work in Canada.

Experience & Skills

  • At least 12 years Post Qualifying within Project Finance environment, with at least 5 years direct experience in Project Financing.

It must therefore have a strong credibility and standing and must also be seen to posses such qualify by appropriate job title.

  • In depth understanding of global economic and political issues and their impact on industry and company performance.

Education

Qualifications:

  • Sc in Engineering/ Ship repair, H.N.D in Mechanical / Marine engineering, or 1st Class Motor D.O.T. Certificate of Competency or its equivalent as recognized by the I.M.O.
  • 10-15 year's relevant experience.

  • Become familiar with the Project Electronic Document Management System (EDMS)
  • Carry out training on EDMS and Document Management processes, internally and externally
  • Co-ordinate and manage access and permission rights to the EDMS, in conjunction with Document Conrol Manager (DCM)
  • Provide support to the project teams on all Document Control matters
  • Attend Kick off Meetings with the External Providers
  • Maintaining the Package (Master Document Registers) MDRs
  • Monitor and issue (External Provider Document Register) SDRs to all External Providers
  • Documents are issued in a controlled manner via a Document Transmittal Notice (DTN)
  • Review Invitation to Tender (ITT) documents before being issued
  • Participate in Project meetings as necessary, in any location they may be held
  • Documents are managed according to the Project requirements
  • Manage documents via FTP sites for large documents (GIS data)
  • Liaise with departments to ensure all documentation issued to site and contractors is the latest revision
  • Ensuring hard copies (when required) and electronic copies of all previous revisions are available and uploaded on to the EDMS
  • Ensure archiving is undertaken in accordance with the Quality Management System
  • Manage and coordinate External Providers and the Project's Final Documentation with the assistance of the department heads
